We only collect and process personal data that you voluntarily provide to us when interacting with our site. This includes:
- Contact & Schedule Information: Your name, email address, and phone number, which are collected when you request a conversation or book a call via our Calendly integrations.
- Newsletter Subscriptions: Your email address, which is collected when you subscribe to our weekly practices.
- Reflections: Free-text emotional responses, thoughts, and reflections that you voluntarily submit through our anonymous reflection forms.
2. Data Minimization & Security
We respect the principle of data minimization. For reflection submissions, IP addresses are never logged, ensuring that your emotional reflections remain completely anonymous. To ensure we do not hold your data indefinitely, all anonymous emotional inputs in our reflections table are automatically and completely purged after 12 months.
3. Data Storage
All data collected directly by the Wolfpack Brotherhood is stored securely in a PostgreSQL database hosted on our self-hosted Coolify instance. We implement appropriate technical measures to prevent unauthorized access, alteration, or deletion of your information.
4. Database Tables & Processing Details
Our data schema organizes information into specific database tables. We process and store data within the following tables:
- leads: Stores booking and intake records, including names, contact details, and scheduling stage. This includes tracking columns such as
noshow_at(indicating when a booking was missed) andrecovery_sent_at(indicating when a recovery email was dispatched). - subscribers: Stores email subscription records, including metrics like the
emails_receivedcount to manage the delivery sequence of our weekly practice newsletter. - reflections: Stores anonymous emotional inputs and responses. As detailed above, IP addresses are never logged in this table, and records are purged after 12 months.
- referral_codes: Stores attribution tracking and referral relationships to identify how members are referred to the brotherhood.
5. Third-Party Integrations
To provide our services, we integrate with trusted third-party service providers. These integrations are detailed below:
- Calendly: Used to schedule peer support conversations and intake bookings.
- Resend: Used to deliver transactional emails and weekly newsletter updates.
- Umami: We use a self-hosted, cookieless, privacy-first analytics instance of Umami to track page views and interactions. Umami does not set cookies or capture any identifying or personal information.
- Meta Pixel: We use the Meta Pixel tracking pixel strictly for marketing and advertising attribution. This integration is strictly consent-gated and will not load or run until you explicitly accept our cookie notice banner.
